For those chairing a session at our SHARP 2023 Conference: Affordances and Interfaces, here are some notes to help streamline the week:
- If possible, prior to the conference or at least prior to your panel, contact all speakers to introduce yourself, and if at all possible, schedule a short Zoom meeting among yourselves to get to know each other and to test everyone’s technological fluency at sharing screens if required.
- Go to your session well ahead of the start time (ideally, at least 10–15 minutes before the session starts). Only the chair, speakers, and tech support will be allowed to enter prior to the scheduled start.
- All chairs, in the break before their session, are to introduce themselves to the tech support person in their panel.
- Introduce the session with names of presenters and paper titles only.
- Refer participants to the online program for abstracts and bio notes.
- If a presenter is using a video clip, ensure they know to click the share sound box as part of the process of sharing the screen.
- Please ensure speakers sharing their screen use the full slide setting in their presentation software rather than the editing view so that the audience can see the content as well as possible.
- Note that the papers should be delivered in the order listed on the panel information box and on the program, with questions at the end of all presentations.
- Keep ALL speakers to time! Presentations last 20 minutes in most panels
- Facilitate Q&A (questions will come from onsite participants, and through Zoom via the chat feature).
- Thank the speakers.
- Thank the attendees.
- Promote the next session(s). Remind speakers for the next session to make themselves known to the next session chair in the break.
- Make any special announcements (if applicable).
