Here is some helpful Zoom advice for Events attendees: https://support.zoom.us/hc/en-us/articles/4402706205325-Getting-started-as-a-Zoom-Events-attendee
The link above is fairly comprehensive. For SHARP 2023, we would ask you to also keep the following in mind:
- If you are not speaking, remember to keep your microphone on mute.
- If your background is visually active (for instance, children or pets wandering in and out, or a television on behind you) please either turn off your video when not speaking or use a virtual background.
- Reactions will be turned on (see “How to use Webinar Reactions” in the above link). Please use these sparingly and remember that speakers cannot see them nor are they recorded, so they are more for conveying responses to other audience members at the panel session.
- Chat will also be live. Remember that everyone can see the chat box and please be respectful in your comments.
If you are presenting:
- Please join your panel (i.e. your Zoom meeting) well ahead of time. Chairs have been asked to make contact with their panel presenters before the session if at all possible, so you should have the chance to introduce yourself to your fellow speakers.
- Each panel will have an assigned tech support person, whose role is to be ‘in the background’ in case of issues. They will appear as an alternative host. Tech support will be present at the session from 30 mins prior to the scheduled start.
- If you are sharing your screen to show slides, please remember to use the full slide view on your presentation software and not the editing view so that the audience can see your slides clearly.
Key email addresses for all presenters and attendees:
The email address events@sharpweb.org will be visible to all tech support people, so should be used for any questions about technology.
For larger questions, issues regarding panel participation, access to Zoom Events, or other matters that one would normally go to a registration desk to ask about in an in-person conference, please use sharp2023@sharpweb.org.
Creating your personal timetable
As a presenter on Zoom Events, it’s helpful to know that each panel session in Zoom Events is a distinct Zoom meeting.
Conference attendees can simply click on the session they wish to attend and be taken there. There are no separate Zoom links for each meeting to worry about. You can also go into the main landing page, called the Lobby, click the Sessions tab, and bookmark any sessions you wish to attend. That creates your personal ‘itinerary.’ Zoom Events then provides a set of .ics calendar event links that download to your electronic calendar. You can also link to any panel from there, or just use the calendar to remind you when you need to be online.
